The Opportunity
Reporting to the Senior Project Administrator and wider management group, duties include, but are not limited to:
Document management and filing
– Manage project documentation, including folder organization, naming conventions, revision control, and document QA.
– Coordinate document transmittals and oversee collaboration tools such as Bluebeam sessions.
– Oversee archiving, turnover packages, and long-term storage of closed project files.
Assisting Project Managers with project activities
– Support the Project Manager with core project coordination activities, including preparing agendas, minutes, action-item lists, and resource allocation.
– Follow up on team deliverables, review timesheets, and assist with status reports, develop and maintain schedule, and budget control.
– Support project reporting, scheduling, budget updates, and timesheet.
– Perform other administrative tasks as requested by the Project Manager.
Procurement and Logistics Support
– Manage procurement activities, including online orders, RFQs, vendor coordination, PO preparation, payment-term agreements, and invoice review.
– Track procurement and shipment progress by maintaining PPSR, expedite deliveries, and coordinate logistics for equipment, materials, and lab samples.
– Prepare shipping documentation (CI, BOL, packing slips), liaise with carriers and consolidation points, and support customs clearance.
– Perform any additional tasks required to ensure smooth and timely procurement and logistics operations.
Lab Inventory and Equipment Management
– Maintain laborator inventory, including consumables, reagents, and equipment/instruments, tracking receipt, storage, usage, and organization.
– Oversee calibration and maintenance schedules for lab equipment and instruments to ensure functionality.
– Ensure the lab and bay areas remain organized, clean, and operational, continuously improving lab organization and workflows.
Administrative and Coordination Support
– Coordinate with external labs for sample logistics, assays, and related budgets, invoices, and expenditures.
– Manage disposal of waste materials through Sumas Environmental Services, ensuring regulatory compliance and timely collection.
– Manage lab-related invoices and collaborate with the finance team for review and approval.
– Assist with scheduling, and documentation of internal/external audits or inspections.
– Support lab team members with administrative tasks, including shipping/receiving of samples, labeling, documentation, and any other administrative tasks.
Required Skills and Competencies
· Strong organizational skills
· Excellent communication and interpersonal skills
· Problem-solving skills and attention to detail
· Proficient in Microsoft Office Suite
· A couple of years of experience demonstrating administrative & coordination skills
· Familiarity with chemical laboratory processes and workflows is an asset.
· Experience in project management is an asset, while a PMP certification is not mandatory
